Reaching Neighbors Terms and Conditions
(edited 9/21/2026)
1. Acceptance of Terms
Welcome to Reaching Neighbors. These Terms of Service ("Terms") govern your access to and use of all Reaching Neighbors websites, online ordering platforms, partner portals, customer accounts, products, software, content, and services (collectively, the "Services").
By accessing our websites, creating an account, submitting artwork or mailing lists, requesting a quote, placing an order, or otherwise using any of our Services, you acknowledge that you have read, understood, and agree to be bound by these Terms, our Privacy Policy, and any additional policies or guidelines referenced herein.
If you are using the Services on behalf of a business, nonprofit organization, government entity, or other organization, you represent and warrant that you have the authority to bind that organization to these Terms.
If you do not agree to these Terms, you may not access or use our Services.
Reaching Neighbors reserves the right to modify these Terms at any time. Updated Terms will become effective upon posting to our website unless otherwise stated. Your continued use of the Services after any changes become effective constitutes your acceptance of the revised Terms.
These Terms apply regardless of whether you access our Services directly through a Reaching Neighbors website or through a third-party website, partner portal, referral program, or other authorized platform.
2. Services We Provide
Reaching Neighbors provides a variety of marketing, printing, mailing, design, and related business services through its websites, customer portals, partner portals, and other authorized platforms. Our Services may include, but are not limited to commercial printing and print production, direct mail campaign management and mailing services, mailing list acquisition, mailing list management, mailing list processing, graphic design services, marketing consultation and campaign planning, digital templates and downloadable resources, and online ordering tools.
The availability of specific Services may vary by customer, location, partner relationship, or platform. Not all Services are available through every website, portal, or program.
We continually improve and expand our Services. Accordingly, we reserve the right to modify, suspend, discontinue, or replace any Service, feature, product, pricing, specification, or functionality at any time, with or without notice, unless otherwise required by law.
Unless expressly stated in writing, descriptions of our Services, estimated production schedules, pricing, and availability are provided for informational purposes only and do not constitute a binding guarantee or contractual commitment.
Nothing in these Terms shall be interpreted as creating a partnership, joint venture, agency relationship, employment relationship, or fiduciary duty between Reaching Neighbors and any customer.
Certain Services rely on third-party providers, including but not limited to the United States Postal Service (USPS), shipping carriers, payment processors, software providers, data providers, and technology partners. While Reaching Neighbors carefully selects these providers, we do not control their operations and cannot guarantee their performance, availability, or delivery times.
3. Customer Accounts
Certain Services require you to create and maintain a customer account. When creating an account, you agree to provide accurate, complete, and current information and to promptly update your information if it changes.
You are responsible for maintaining the confidentiality of your account credentials, including your username and password, and for all activities that occur under your account. You agree to notify Reaching Neighbors immediately of any unauthorized access to your account or any suspected breach of security.
You may not share your account credentials with unauthorized individuals or use another person's account without their permission. Reaching Neighbors is not responsible for any loss or damage resulting from your failure to safeguard your account credentials.
If your account is established on behalf of a business, nonprofit organization, government entity, or other organization, you acknowledge that authorized users within that organization may place orders, approve proofs, access account information, and otherwise act on behalf of the organization. Reaching Neighbors may rely on instructions received from any individual reasonably believed to be an authorized representative of the account.
You are responsible for ensuring that all information associated with your account, including billing information, shipping addresses, mailing lists, contact information, and tax exemption documentation (if applicable), remains accurate and current.
Reaching Neighbors reserves the right to suspend, restrict, or terminate any account that violates these Terms, poses a security risk, contains false or misleading information, or is used in a manner that may harm Reaching Neighbors, its customers, or third parties.
Reaching Neighbors reserves the right to retain, archive, or remove customer account information, artwork, mailing lists, order history, and other account content in accordance with our business practices, legal obligations, and Privacy Policy. Customers are encouraged to maintain their own copies of all submitted files and records.
4. Orders, Artwork, and Customer Content
Customers are responsible for ensuring that all order information, artwork, mailing lists, files, specifications, and other materials submitted to Reaching Neighbors are complete, accurate, and ready for production. By submitting an order or uploading content, you represent and warrant that you have the legal right to use, reproduce, print, publish, distribute, and authorize Reaching Neighbors to use such materials for the purpose of fulfilling your order.
You retain ownership of the content you submit to Reaching Neighbors. However, by submitting artwork, mailing lists, photographs, logos, documents, or other materials, you grant Reaching Neighbors a non-exclusive, royalty-free license to use, reproduce, modify as reasonably necessary for production, store, transmit, and process those materials solely for the purpose of providing the requested Services.
You agree not to submit any content that:
- Is not lawfully yours to transmit;
- Violates any applicable law or regulation;
- Infringes upon the intellectual property, privacy, publicity, or other rights of any third party;
- Contains defamatory, fraudulent, threatening, abusive, hateful, obscene, or otherwise unlawful material;
- Could reasonably expose Reaching Neighbors to legal liability.
Reaching Neighbors reserves the right, but has no obligation, to review submitted materials and may refuse, suspend, or cancel any order that, in our sole judgment, violates these Terms, applicable law, or our business policies.
Customers are solely responsible for reviewing all proofs, artwork, personalization, mailing lists, quantities, addresses, spelling, grammar, layout, and other order details before approving an order for production. Approval of a proof or submission of print-ready artwork constitutes the customer's confirmation that the materials are accurate and ready for production.
Unless specifically agreed to in writing, Reaching Neighbors is not responsible for identifying spelling errors, grammatical errors, formatting issues, missing content, low-resolution images, incorrect personalization, mailing list inaccuracies, or other customer-supplied errors.
Customers are responsible for maintaining backup copies of all submitted files. While Reaching Neighbors may retain customer files for operational purposes, we do not guarantee the long-term storage or availability of artwork, mailing lists, proofs, templates, or other submitted materials.
Due to differences in monitors, mobile devices, printers, paper stocks, inks, coatings, lighting conditions, and manufacturing processes, printed colors may vary from on-screen previews, digital proofs, previous orders, or customer expectations. Minor variations in color, trimming, folding, registration, sizing, and other industry-standard production tolerances shall not be considered defects.
5. Pricing, Payment, and Taxes
Prices for our Services are subject to change without prior notice. The price applicable to your order will be the price displayed or otherwise communicated at the time your order is submitted, unless an obvious pricing error has occurred.
Quotes and estimates are provided for informational purposes only and are valid only for the period specified in the quote or estimate. Unless otherwise stated, quotes do not guarantee future pricing and may be revised if project specifications, quantities, materials, postage rates, shipping costs, or other factors change.
Payment is required in accordance with the payment terms applicable to your account or order. Reaching Neighbors may require full or partial payment before production begins and reserves the right to withhold production, mailing, shipping, or delivery until all required payments have been received.
You authorize Reaching Neighbors to charge your selected payment method for all amounts due, including applicable taxes, shipping charges, postage, approved change orders, and other authorized fees associated with your order.
If a payment is declined, reversed, disputed, or otherwise fails, Reaching Neighbors may suspend production, withhold shipment or mailing, cancel the order, suspend account access, or pursue any other remedies available under applicable law.
Customers are responsible for providing accurate billing information and for promptly notifying Reaching Neighbors of any changes to that information.
Customers are responsible for paying all applicable federal, state, and local taxes associated with their purchases unless a valid tax exemption certificate has been provided and accepted by Reaching Neighbors prior to order processing.
If an obvious typographical, technical, or pricing error results in an incorrect price being displayed or communicated, Reaching Neighbors reserves the right to correct the error, cancel the affected order, or provide the customer with the option to proceed at the correct price before production begins.
Postage rates established by the United States Postal Service are subject to change without notice. If postage rates increase after an order is placed but before mailing occurs, Reaching Neighbors reserves the right to collect the additional postage required to complete the mailing or, if permitted, provide the customer with available alternatives.
6. Production
Production schedules begin only after all required materials have been received, any outstanding questions have been resolved, all required payments have been made, and, when applicable, the customer has approved the final proof.
When proofs are provided, customers are responsible for carefully reviewing all aspects of the proof before providing approval. Proof approval confirms that the customer has reviewed and accepts all content, including but not limited to spelling, grammar, layout, images, colors, personalization, mailing information, quantities, sizing, bleeds, and any other production details.
Once a proof has been approved or print-ready artwork has been submitted for production, the order will proceed into production. At that point, changes, corrections, or cancellations may no longer be possible and, if permitted, may be subject to additional charges, production delays, or both.
Reaching Neighbors will make reasonable efforts to accommodate requested order changes prior to production; however, we do not guarantee that changes can be made after an order has been submitted.
Estimated production and delivery timeframes are provided as good-faith estimates only and are not guaranteed unless expressly agreed to in writing. Production times may be affected by customer delays, file issues, equipment maintenance, material availability, weather events, carrier delays, governmental actions, or other circumstances beyond our reasonable control.
If customer-supplied files do not meet our published specifications or otherwise require modification before production, Reaching Neighbors may, at its discretion request corrected files, delay production until corrected files are received, make minor technical adjustments necessary for production, or cancel the order if production cannot reasonably proceed.
Additional charges may apply for customer-requested revisions, file corrections, design changes, or other modifications requested after work has begun.
If an order enters production before the customer reports an error that was visible on an approved proof or in customer-supplied print-ready files, Reaching Neighbors shall not be responsible for the costs of reprinting, remailing, or correcting the order. Any replacement or reprint in such circumstances shall be at the customer's expense unless Reaching Neighbors determines, in its sole discretion, that the error resulted from our production process.
7. Shipping, Mailing, and Delivery
Reaching Neighbors offers shipping and mailing services through third-party carriers, including but not limited to the United States Postal Service ("USPS"), United Parcel Service ("UPS"), and other shipping or delivery providers. Delivery methods and carriers may vary depending on the Services requested.
Estimated production, shipping, mailing, and delivery timeframes are provided for planning purposes only. While Reaching Neighbors makes reasonable efforts to meet estimated schedules, we do not guarantee delivery dates unless expressly agreed to in writing.
Once an order has been accepted by USPS, UPS, or another carrier, delivery is subject to that carrier's operations, policies, and service standards. Reaching Neighbors is not responsible for delays, interruptions, misdeliveries, or other delivery issues caused by third-party carriers, weather events, labor disputes, governmental actions, natural disasters, inaccurate customer information, or other circumstances beyond our reasonable control.
For direct mail campaigns, the customer is responsible for providing accurate and properly formatted mailing lists unless Reaching Neighbors has expressly agreed to provide mailing list services. Customers are also responsible for complying with all applicable mailing regulations and obtaining any required permissions for the recipients included in their mailing lists.
When mailing services are provided, Reaching Neighbors' fulfillment obligations are considered complete once the mailpieces have been accepted by the USPS or other designated mailing provider, unless otherwise required by law or expressly agreed to in writing.
For shipped products, customers are responsible for inspecting their order promptly upon delivery. Any visible shipping damage or shortages should be reported to the delivering carrier at the time of delivery whenever possible and must also be reported to Reaching Neighbors within the time period specified in our Refund and Reprint Policy.
Reaching Neighbors is not responsible for delays or non-delivery resulting from incorrect or incomplete shipping addresses, mailing addresses, customer-supplied mailing lists, recipient relocation, refused deliveries, or returned mail.
Additional postage, shipping charges, address correction fees, forwarding fees, or other carrier-imposed charges resulting from customer-supplied information may be the responsibility of the customer.
8. Quality Assurance and Order Resolution
Reaching Neighbors is committed to producing high-quality products and delivering excellent customer service. If you believe your order contains a manufacturing defect or was produced incorrectly due to an error by Reaching Neighbors, please notify us as soon as reasonably possible after receiving your order.
Customers are responsible for inspecting all delivered products promptly upon receipt. Any claims regarding defects, shortages, damage, or production errors must be submitted within the time period specified in our Refund and Reprint Policy or, if no such policy applies, within a reasonable time after delivery. Failure to report an issue within the applicable timeframe may result in the claim being denied.
If Reaching Neighbors determines that an order contains a manufacturing or production error for which we are responsible, we may, at our sole discretion reprint the affected product, correct the issue, replace the affected portion of the order, or issue a full or partial refund.
The remedy selected by Reaching Neighbors will depend on the nature of the issue and will constitute the customer's exclusive remedy for the affected order.
Reaching Neighbors is not responsible for issues resulting from:
- Customer-approved proofs or customer-supplied artwork;
- Spelling, grammar, or design errors approved by the customer;
- Low-resolution or improperly prepared files;
- Incorrect mailing lists or shipping information provided by the customer;
- Normal industry variations in color, trimming, folding, registration, or finishing;
- Carrier delays or damage occurring after the order has been accepted by the carrier, except as otherwise required by law;
- Customer misuse, improper storage, or handling of the product after delivery.
Except where prohibited by law, custom-printed products, personalized items, direct mail services, postage, mailing services, design services that have been performed, and other custom work are non-returnable and non-refundable unless Reaching Neighbors determines that the issue resulted from our own manufacturing or production error. Nothing in this section limits any rights that cannot legally be limited under applicable law.
9. Acceptable Use
You agree to use the Services only for lawful purposes and in accordance with these Terms. You may not use the Services in any manner that could interfere with the operation, security, or integrity of Reaching Neighbors or the experience of other customers.
Without limiting the foregoing, you agree not to:
- Violate any applicable federal, state, local, or international law or regulation;
- Infringe upon the intellectual property, privacy, publicity, or other legal rights of any person or entity;
- Submit or distribute unlawful, fraudulent, defamatory, threatening, abusive, obscene, discriminatory, or otherwise objectionable content;
- Upload or transmit viruses, malware, malicious code, or other harmful software;
- Attempt to gain unauthorized access to our systems, customer accounts, servers, or networks;
- Interfere with or disrupt the operation of our Services or the systems of any third-party provider;
- Use automated tools, bots, scripts, or other technologies to access or use the Services in a manner that exceeds normal customer use without our prior written permission;
- Misrepresent your identity or falsely imply an affiliation with another individual or organization;
- Use the Services to create or distribute materials that violate postal regulations, advertising laws, consumer protection laws, or other applicable legal requirements.
Reaching Neighbors reserves the right to investigate suspected violations of these Terms and may suspend, restrict, or terminate access to the Services, cancel orders, remove submitted materials, or take any other action reasonably necessary to protect our business, customers, or third parties. Nothing in this section obligates Reaching Neighbors to monitor customer activity or submitted content, and we assume no responsibility for doing so.
Reaching Neighbors reserves the right to refuse or discontinue any order or Service, with or without notice, if we reasonably believe the requested work violates these Terms, applicable law, carrier requirements, industry standards, or our business policies, or if fulfilling the request would expose Reaching Neighbors, its employees, customers, or partners to unreasonable legal, financial, operational, or reputational risk.
10. Intellectual Property
Unless otherwise indicated, all content, software, technology, designs, templates, graphics, logos, text, photographs, images, videos, downloadable materials, website features, and other materials made available through the Services (collectively, the "Reaching Neighbors Content") are owned by or licensed to Reaching Neighbors and are protected by applicable copyright, trademark, trade secret, and other intellectual property laws.
Subject to these Terms, Reaching Neighbors grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services solely for your own lawful business or personal purposes. This license does not transfer ownership of any intellectual property rights.
Except as expressly permitted by these Terms or with our prior written consent, you may not:
- Copy, reproduce, modify, distribute, publish, sell, sublicense, or commercially exploit any Reaching Neighbors Content;
- Reverse engineer, decompile, disassemble, or attempt to derive the source code of any software or technology used in the Services;
- Remove or alter any copyright, trademark, or proprietary notices;
- Use our trademarks, logos, branding, or marketing materials in a manner that suggests sponsorship, endorsement, or affiliation without our prior written permission.
Customers retain ownership of the artwork, logos, photographs, documents, mailing lists, and other content they submit to Reaching Neighbors, subject to the limited production license granted under these Terms.
Unless otherwise agreed in writing, payment for design services grants the customer ownership of the final approved design deliverables created specifically for that customer. Reaching Neighbors retains ownership of its underlying design processes, templates, software, production methods, concepts, know-how, and any pre-existing intellectual property used in creating those deliverables.
11. Privacy and Data Use
Your use of the Services is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Services, you acknowledge that you have reviewed and agree to the practices described in our Privacy Policy.
To provide our Services, Reaching Neighbors may collect, store, process, and share certain customer information, including contact information, billing information, shipping information, mailing lists, order history, artwork, and other information necessary to fulfill your requests and operate our business.
You represent and warrant that you have the legal right to provide any personal information, mailing lists, photographs, or other customer data submitted through the Services and that such information has been collected and will be used in compliance with all applicable laws and regulations.
Reaching Neighbors may share customer information with trusted third-party service providers when necessary to fulfill your order or operate the Services, including payment processors, shipping carriers, mailing providers, technology vendors, and other business partners. We do not authorize these providers to use your information for purposes unrelated to the Services we provide on your behalf.
While Reaching Neighbors implements reasonable administrative, technical, and physical safeguards to protect customer information, no method of electronic transmission or storage is completely secure. Accordingly, we cannot guarantee the absolute security of any information transmitted to or stored through the Services.
Customers are responsible for maintaining copies of their own artwork, mailing lists, documents, and other submitted materials. Reaching Neighbors may retain or delete customer data in accordance with our Privacy Policy, legal obligations, and internal record retention practices.
12. Disclaimers of Warranties
Reaching Neighbors strives to provide high-quality products and reliable Services. However, except as expressly stated in these Terms or required by applicable law, the Services are provided on an "as available" basis without warranties or guarantees of any kind, whether express or implied.
Reaching Neighbors does not warrant or guarantee that:
- The Services will always be uninterrupted, secure, or error-free;
- The website, customer portals, or online tools will always be available or free from technical issues;
- Orders will be delivered by a specific date or time unless expressly agreed to in writing;
- Customer-supplied files, artwork, mailing lists, or other materials are accurate, complete, or suitable for production;
- Marketing campaigns, direct mail campaigns, or other Services will achieve any particular response rate, sales result, fundraising outcome, or other business objective.
Customers acknowledge that printing, mailing, shipping, and digital services involve factors beyond the reasonable control of Reaching Neighbors, including customer-supplied information, third-party service providers, internet availability, equipment failures, weather events, governmental actions, and carrier operations.
While Reaching Neighbors makes reasonable efforts to maintain accurate information on its websites and within its Services, occasional typographical errors, technical inaccuracies, pricing errors, or other inadvertent mistakes may occur. Reaching Neighbors reserves the right to correct such errors and make appropriate adjustments consistent with these Terms.
Except where prohibited by law, Reaching Neighbors expressly disclaims all implied warranties, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
Customers acknowledge that Reaching Neighbors provides printing, mailing, design, and marketing services but does not provide legal, accounting, tax, investment, or other professional advice. Customers are solely responsible for ensuring that their content, marketing practices, and use of the Services comply with all applicable laws, regulations, licensing requirements, and industry standards.
13. Limitation of Liability
Reaching Neighbors will not be liable in contract or in tort (including negligence) to the customer for incidental or consequential damages, arising out of or resulting from anybody’s performance or nonperformance of our obligations. Reaching Neighbors shall not be liable to anyone for any kind of financial losses, cost, expenses, damages and/or other economic damages.
The Buyer agrees that the Buyer will not hold Reaching Neighbors responsible for any and all loss, cost, expense, and damages (including legal costs) on account of any and all manner of claims, demands, actions, and proceedings that may be instituted against Reaching Neighbors and its affiliated company (S) on grounds alleging that the said work violates any copyrights, trademarks, service marks, or is scandalous, or invades any person's right to privacy or other personal rights.
14. Indemnification
You shall indemnify, defend, and hold Reaching Neighbors, its officers, directors, employees, and agents harmless from and against any and all claims, losses, damages, liabilities, judgments, and fees and expenses related thereto (including attorneys' fees), arising out of, based upon, or resulting from, any breach or violation by you of the terms of use or any use by you of the Site or the Services. Reaching Neighbors reserves the right, at its own expense, to assume the exclusive defense and control of any matter otherwise subject to indemnification by you. In no event, however, shall you settle or otherwise dispose of any such matter without the prior written consent of Reaching Neighbors.
15. Suspension and Termination
Reaching Neighbors reserves the right to suspend, restrict, or terminate your access to the Services, your customer account, or any pending or future orders if we reasonably believe that you have violated these Terms or any applicable policies; provided false, misleading, or incomplete information; your account has been used in a fraudulent, unauthorized, or unlawful manner; your actions pose a security risk to Reaching Neighbors, our customers, or our systems; your use of the Services interferes with our operations or the rights of others; or continuing to provide Services would expose Reaching Neighbors to unreasonable legal, financial, operational, or reputational risk.
When reasonably practicable, Reaching Neighbors may provide notice of a suspension or termination and, where appropriate, an opportunity to correct the issue. However, we reserve the right to suspend or terminate access immediately when necessary to protect our business, customers, employees, systems, or comply with applicable law.
Termination or suspension of your account does not relieve you of any obligation to pay amounts owed for Services already performed, products already produced, postage incurred, shipping charges, or other authorized fees. Upon termination, your right to access and use the Services will immediately cease. Reaching Neighbors may retain or delete account information, order history, artwork, mailing lists, and other customer content in accordance with our Privacy Policy, legal obligations, and record retention practices.
Reaching Neighbors may also refuse future orders from customers whose prior conduct demonstrates a pattern of abusive behavior, repeated policy violations, fraudulent activity, excessive payment disputes, or other conduct inconsistent with maintaining a productive business relationship.
16. Site Administration
Reaching Neighbors administers the Site from its office in San Antonio, Texas. Reaching Neighbors makes no representation that the Site, the Content, or any Services are appropriate or available for use outside the United States, and access to them from territories where their contents are illegal is prohibited. You may not use or export or re-export the materials at the Site or any copy or adaptation in violation of any applicable laws or regulations (including U.S. export laws and regulations). If you choose to access the Site from outside the United States, you do so at your own risk and are responsible for compliance with applicable local laws.
17. General Provisions

If you become dissatisfied with the Site, the Content, or the Services in any way, your sole recourse is to immediately discontinue use of the same.
If any provision of the terms of use is held by a court of competent jurisdiction to be invalid or unenforceable, then such provision shall be enforced to the maximum extent permissible so as to effect the intent of such provision and the remainder of the terms of use shall continue in full force and effect.
The failure by Reaching Neighbors to exercise or enforce any rights or provisions of the terms of use shall not constitute a waiver of such right or provision. You agree that any cause of action arising out of, or related to, the Site, the Content, or any Services must commence within one (1) year after the cause of action arose; otherwise, such cause of action is permanently barred. The terms of use will be governed by and construed in accordance with the laws of the State of Texas, without giving effect to any principles of conflicts of laws, all matters arising hereunder shall be exclusively venued in Bexar County, Texas, and you agree to the exclusive jurisdiction of the state and federal courts located in Bexar County, Texas.

Where the context so indicates, a word in the singular form shall include the plural, a word in the masculine form the feminine, and vice-versa. The term "include" and similar terms (e.g., includes, including, included, comprises, comprising, such as, e.g., for example), when used as part of a phrase, including one or more specific items, are used by way of example and not of limitation.
